Ⅱ Presentation

1.          What is important when choosing a business club to join in?

²  Leisure Facilities

The leisure facilities may be the answer, I think. It can make us very happy and comfortable after all day’s work and sometimes we can enjoy our lives in the club.

²  Type of Events

If there are many types of events in the club, we will select it. Different types of events can provide us with many experiences that we have not gone through in daily basis.

²  Cost

The cost may be a very important factor. If the cost is too high, many guests would be scared away, and the cost should be reasonable according to the services on offer.

²  Club Members

I think club members will be the only answer. If someone can meet the celebrities of different circles in the club, he will be happy to join in the club and he may have a chance to make friends with them.

²  Organizer

A good organizer will be the winning point. If everything is arranged in order, the guests can easily find the person he’s looking for and do whatever they please, the guests will be very satisfied.

²  Connections with Government Officials

If it’s up to me, the factor of Connections with Government Officials is also very important. Strong Connections with Government Officials can be useful to build good relationships with the establishment, which will be very beneficial to the business

2.       What is important when choosing a business-training course?

²  Cost

I’d like to see if our company could afford the expenses. Should the business training course costs too much, the company will have to reconsider the value and effect of the training course.

²  Size of group

If I were the decision maker, I would select a small group. Size of group will decide the quality of training to some extent. A small group will give the trainees more opportunities to develop themselves.

²  Subjects covered

If the training course covers a wide range of subjects, it will be more useful for the trainees in different aspects. The more subjects are covered, the more experience they will acquire.

²  Trainers

If there are many excellent trainers handling this course, it surely will be interesting and attractive. Everybody wants to learn from excellent teachers.

²  Duration

A proper duration for a training course is very important. As long as the trainee is not disturbed during the course, and the timetable is reasonably arranged, the course can be regarded as a successful one.

²  Relevance to my job

I will select a training course, which is related to my present job. My work demands fresh minds and new skills. It couldn’t be better if I got some detailed guidance to my job from this course.

3.       What is important when choosing a center for a conference?

²  Facilities

A facility available is regarded as the hardware component of a conference center. It would be super if the facility were always in good shape, so our work won’t be held up.

²  Accommodations

As a comprehensive building, a conference center should provide office facilities as well as daily necessities. Satisfactory food and bedrooms would make their stay a pleasurable recollection.

²  Locations

To select the right location is always important in doing business. For a conference center, company-intensive downtown area is not a bad choice. But there’s also a trend to move towards the suburbs.

²  Surroundings

Escaping the hustles and bustles of the city is a pursuit in vogue. Conference centers are catering to this desire too. That’s why so many of them are located in tranquil parks.

²  Nightlife

To lead a colorful nightlife was originally a western lifestyle. Thanks to our open-up policy, we Chinese are learning how to relax after hard work in the daytime. So it would be considerate for the conference centers to organize some recreational events.

²  Traffic

I’ve seen the narrow streets surrounding a conference center jammed all day long, which is a negative example. I would choose a place to hold the meetings when people can come and go with ease.

Ⅱ Presentation

4.       What is important when attending an interview?

²  Punctuality

It’s a merit that we keep our appointment on time. For example, if the interview is due to start at ten o’clock, a candidate should arrive five minutes earlier. In preparation, he’d better pay a visit to the interview site on the day before if possible. By doing this, he could make sure of the shortest route and the approximate time to get there.

²  Manner

Remember that the interviewer is observing you even before you enter the room. So don’t you forget to knock at the door first, no matter it’s a shut or open. Moreover, it’s widely accepted that eye contact is indispensable. Look straight into the eyes of the interviewer with politeness as well as self-confidence, and greet him with a smile at the same time.

²  Appearance

Someone who is particular about his appearance is welcome everywhere. With you hair neatly cut, your beard nicely shaved and your face cleanly washed, your first impression could not be too bad. In addition, equip yourself with a starched shirt, and ironed suit and a pair of polished shoes; you’re absolutely a pleasant guy in the eyes of both male and female interviewers.

²  Talking

Talking is the primary channel we communicate with people. As the saying goes, talking ability is also a powerful weapon when it comes to winning a favorable feeling of others. Choose your words carefully at first, since you’re still a stranger to the interviewer. After getting a bit familiar with him, you can add a sense of humor in your remarks to ease the atmosphere.

²  Body language

Nowadays, the importance of body language is regarded as more revealing than what is said. A seasoned interviewer would certainly keep this in mind while talking to you. Gripping your hands together means you are nervous. Similarly, escaping the interviewer’s eyes could leave him an impression that you may be lack of confidence. Remember, you have nothing to lose. So take it as a chat between friends rather than a serious conversation with your boss.

²  Personality

Knowing all the interview tricks won’t necessarily guarantee a success. If you talking points are no more than the old stories, your efforts of organizing the materials are still in vain. Something new is needed in order to stir the interview’s interest. Give him a little surprise and nobody cares about whether your point is right or wrong. Sometimes, it could be a quite rewarding try.

5.       What is important when giving a presentation?

²  Topic

If we choose a boring topic to talk about, we’re facing an unsuccessful outcome. As long as you know what stuff the audience may be tired of hearing, never mention it.

²  Equipment needed

It couldn’t be worse if the equipment needed in the presentation breaks down. Presentation techniques depend heavily on equipment. Spending some money to rent high-performance equipment is well worthy.

²  Type of audience

An excellent presenter is good at marking off different types of audience from their occupations and social status. Then he picks up his method accordingly in hopes of positive reactions.

²  Eye contact with audience

It’s good manners to have eye contact with your audience. If you don’t give them a glimpse every few seconds, they wouldn’t pay attention to your presentation any longer, for you don’t care about their existence.

²  Appearance of presenter

An imposing appearance is needed in formal occasions, especially for a presenter, who is the focus of everybody. Casual wear is totally unacceptable if you ever wish to enjoy the audience’s trust.

²  Control of rhythm

Until you realize the importance of controlling rhythm, you’re not a qualified presenter yet. Don’t you rattle away to show your eloquence? Pause from now and then, allowing your argument to sink in.

6.       What is important when selecting an employee?

²  Qualification

Certificates and diplomas do not stand for your entire qualification. Incompetent masters and doctors graduated from highly praised universities can be everywhere. We just cannot depend on them to make a profit for the company. By contrast, interviewees with practical experience would bring us more benefits.

²  Experience

It couldn’t be better if our employees are made of people who come from different cities, provinces, countries, and continents. Their different backgrounds could very well serve our purpose of diversification within the company.

²  Professional experience

It might sounds curious but I’d really like to give the job-hoppers a chance to demonstrate their capabilities. Those so-called loyal staffs who stick to one particular company as long as possible seem to be afraid of unfamiliar working environment.

²  Age

It has nothing to do with discrimination when we take the employee’s age seriously. As people grow older, they tend to be inclined to adhere to past practices and resist changes. Such a rigid guy should be excluded from our paying list.

²  Personality

Everyone has a unique personality, which is a welcome phenomenon. If a group of staff members are similar in their personalities, a lot of internal conflicts could be saved. But there’s also a problem to worried. This unit might become a stagnant working place without vitality in the long run.

²  Creativity

We attach great importance to an employee’s creativity. Mediocre Yes-man who is used to echo the views of others apparently belongs to redundant laborer. WHAT IS IMPORTANT WHEN…?

   Selecting applicants for a job

   Working experience

   Personal qualities

   Communicative skills

Sample

As we all know, the criteria used by HR professionals in screening and selecting applicants normally include such factors as working experience, personal qualities and communicative skills.

Firstly, we pay a lot of attention to working experience of the applicant. A person with a solid record of related experience is more likely to fit in with a new company. Therefore he or she can be trusted to fulfill the tasks and solve the problems in a more professional and competent way.

In addition to this, we also look at the personal qualities of the applicant. Does he or she has integrity, perseverance or ‘can do’ spirit? Surely any organization can benefit from the reliability, devotion and enthusiasm of its employees.

Finally, good communicative skills such as interpersonal skills and team spirit are also becoming an important precondition in selecting qualified employees.

1. What is important when selling a new product?

²  Discount

If a trade gives the counterpart a favorable discount in selling a new product, it’ll be easy to reach an agreement. And their volume of transaction can be larger.

²  Quality

Of course the quality of a product is very important. To some extent, it’s a decisive factor. Inferior quality will damage the company’s name, and cause a loss of consumers in the end.

²  Advertising

An ingenious advertising campaign will attract the eyes of lots of consumers, because the public is inevitably influenced by advertisements in their everyday lives.

²  Packaging

I think the packaging of a product will determine its selling performance. In an era of eyeball economy, high-quality products with poor packaging could be left out in the cold.

²  Commitment of After-sales Service

If commitment of after-sales service is honored, the consumers might become rest assured. As a result, our product will be in great need.

²  Image Ambassador

It’s a common practice nowadays that companies invite fashion models, film stars and pop singers to act as image ambassadors for their products. It turns out to be a very effective promotion approach, especially to the youngsters.

2.What is important when choosing a magazine to buy regularly?

²  Contents

Contents are the first thing to consider under this circumstance. People certainly look at what’s in a magazine when they decide to buy it for the first time. The quality of a magazine mainly depends on its contents.

²  Cost

I think the cost of a magazine will stir enthusiastic response from the market. If the cost is relatively lower than that of the same category, readers usually prefer the cheaper one.

²  Title of the magazine

Title reflects the management principle of a magazine. It’s a highly condensation of the contents. A vivid and smooth-reading title is more likely to be on the lips of everybody.

²  Principle quality

Printing quality is the appearance of a magazine. Copperplate printing is widely applied to high-grade magazines, since using low cost plain paper could downgrade their image.

²  Columnist

We should hire several highly paid well-known writers to take charge of our famous columns. To encourage ordinary people with literary talent or novel ideas is another selling point.

²  Popularity

We decide to buy a popular magazine because many people read it. When we get together for chit-chat, it’s easy for us to find topics of common interest.

3.What is important when organizing a business reception?

²  Hosts

Although beautiful girls and handsome boys are pleasant, they’re able to pay the roles of waiters and waitress only at grand occasions like a business reception. What we need for host and hostess are experience grown-ups who can cope with any situations.

²  Food provided

Chinese people are famous for our hospitalities. We usually give a grand banquet to entertain distinguished guests. Chinese cuisine is delicious and healthy, so it’s no problem for us to please the visitors.

²  Entertainment

Besides eating and drinking, our guests need more. To liven things up, we’d better call up a host of singers, dancers and even acrobats if possible to offer them a pleasant surprise.

²  Souvenir

People would be happy when they receive something for free. We can take advantage of this psychology to win them over. By handing out unique souvenirs, your company could be remembered longer.

²  Atmosphere

A dull party makes nobody happy, and it’s the same when we’re organizing a business reception. Whether the atmosphere is lively or not is up to the host’s coordination. For instance, he can designate someone to lead the way in applauding to break awkward silences.

²  Introductions of guests

We attend a reception not only to say hello to our acquaintances, but also to make some new friends. For this purpose, completely depending on self-introduction would produce limited effect. At this moment, the host and hostess should be honored if they arrange contacts between two strangers to let them know each other.

4.What is important when deciding to buy a product?

²  Cost

The method of making financial plans has been introduced to the livelihoods of many contemporary families. They allocate a certain sum of money for each item of expenditure. If a product costs too much, they probably sway to some cheaper alternatives.

²  After-sales service

After-sales service is kind of a commitment made to the customers by a business organization. When things go wrong, a producer must live up to its promises. If they pay no more than lip service to the buyers and shirk their responsibility by all means, reconsider your decision to buy anything from them.

²  Quality

Quality is, let’s say, the lifetime of a product. High praise for a superior quality will widely spread by word of mouth. That could prove to be a convincing advertisement for free. Many companies have realized this and introduced ISO standards for quality control.

²  Brand

We’d buy products of famous brand so long as our purse is full. It’s not a simple matter of gratifying the vanity because brand really counts. A famous brand is often regarded as the embodiment of both high quality and reliable after-sales service. That’s why people are ready to pay a higher price for it.

²  Design

Quality speaks for itself has already been a phrase of our fashion. Quality alone an no longer guarantee the success of a produce on the market. It’s easy to understand that gold in the form of ingot cannot be compared with that of jewelry.

²  Technology Involved

The influence of technologies on our daily lives is growing more and more evident. Modern lifestyle depends on heavily on the contributions of technological innovations. Products involved with advanced technology are generally patented. And it’s reasonable we pay for the inventors intellectual rights.

Mr. Lee:                I would like to buy a ticket to New York please.

Ms. Booker:       When do you plan to travel?

Mr. Lee:                I’d like to pack my bags and leave tonight.

Ms. Booker:           Are you aware that without two weeks advance notice prices will be very high?

Mr. Lee:                Yes I know, but I just got the chance to leave and so I am going to take it no matter what.

Ms. Booker:           I understand. So that’s one ticket to New York, and you’ll be departing tonight. Will that be one- way or round trip?

Mr. Lee:                I wish I could stay there, but unfortunately it will have to be a round trip ticket.

Ms. Booker:           When would you like to return?

Mr. Lee:                My return date will be the 14th.

Ms. Booker:          OK. I have several seats available. Would you like a window seat or an aisle seat?

Mr. Lee:                Anything but a center seat is fine with me. The middle seat drives me crazy!

Ms. Booker:           OK Mr. Lee. I have you booked on flight 513 leaving on the 5th at 11:00 pm and arriving in New York on the 6th at 6:00 pm. The return is flight 514 leaving on the 14th at 8:00a.m.and arriving in Beijing at 12:00 noon on the 15th.

Mr. Lee:                Will there be any layovers?

Ms. Booker:           No, all flights are direct.

Mr. Lee:                Perfect! I’m afraid to ask, but how much is it?

Ms. Booker:           $800 dollars.

2) Checking In

Mr. Lee:                Hi. I’m here to catch flight 513 to New York.

Ms. Shrimp:          May I see your ticket please?

Mr. Lee:                Here you are. Do you need to see my passport?

Ms. Shrimp:          Any form of picture I.D. will do.

Mr. Lee:                Hmmm…a photo I.D. I have my New Jersey driver’s license is that ok?

Ms. Shrimp:          That will do. What an interesting picture! How old is it?

Mr. Lee:                Actually it was taken just last year, but I had a shaved head and a beard. Can you still recognize me?

Ms. Shrimp:          Barely. Will you be checking any luggage today?

Mr. Lee:                Yes. One suitcase. I also have a carry – on bag.

Ms. Shrimp:          Ok. Mr. Lee, you’re all set. Your flight leaves from gate 10. Boarding begins at 10:30

3)  Lost Luggage

Mr. Lee:                Hi. I came in on flight 513. Everyone else took their luggage off the conveyor belt, but mine doesn’t seem to be there.

Clerk:                   Let me check the computer. Uh- oh. Looks like your luggage is on its way to Paris.

Mr. Lee:                You’re kidding. What am I going to do?

Clerk:                   Well, we can give you this lovely shaving kit and call you the minute your luggage arrives here. Just leave us a contact number.

Mr. Lee:                You can reach me at 13661306917.

Clerk:                   Thank you. I am terribly sorry about this. It very happens. We do have a sophisticated tracking system, so I know we will find it soon. But we apologize for the inconvenience.

Mr. Lee:                That’s ok. There wasn’t anything important in there anyway. The shaving kit more than makes up for many lost luggage.

Clerk:                   Wow! I have been working here for 15 years and you’re the first person to accept a lost luggage situation cheerfully.

Mr. Lee:                I’ve had a lot worse problems than this traveling so it’s really no big deal.

4)Delayed Flight

Mr. Lee:                Hi. I’m here for flight 514 returning to Beijing but the board shows there is a delay. How long of a delay is expected?

Counter Clerk:       So far it looks like we will be leaving two hours late, but keep checking the departing flights status board just in case.

Mr. Lee:                Do you think it’s safe to leave to get a quick bite?

Clerk:                   I think you should stay in the airport. Even though the delay is expected to be two hours, the flight departure could be announced any minute. Who knows?

Mr. Lee:                What seems to be the problem?

Clerk:                   It seems there are some loose bolts on one of the wings. It happens all the time. No need to worry.

Mr. Lee:                Umm…You know… Actually I was thinking of trying another airline. No need to hold my seat.

Ⅰ Business Dialogue

1)  Flight Cancelled

Mr. Lee:                Hi. I’m here for flight 513 to New York but I thought I heard the paging system announce that is cancelled. Is that true?

Clerk:                   I’m terribly sorry, sir, but I’m afraid it is true. That flight has been cancelled. Would you like to try to book tomorrow’s flight?

Mr. Lee:                No way! I worked very hard so that I could leave on today’s flight. Are there seats on another airline?

Clerk:                   It’s possible. If you would like to book with another airline the line is right over there.

Mr. Lee:                You mean that line over there of about 200 people?!

That the one. It seems that everyone is anxious to get to New York tonight.

Mr. Lee:                This is a rotten way to start a vacation. I HATE lines! Can you book me on tomorrow’s flight?

Clerk:                   Certainly. You will also be receiving a 50% discount as our way of apologizing for the inconvenience.

2)  Flight Overbooked

Counter Clerk:       Good evening, Mr. Lee and thank you for choosing our airline. We have just discovered that this flight is overbooked. Would you like to volunteer to give up you seat?

Mr. Lee:                Overbooked? Give up my seat? I don’t understand.

Clerk:                   From time to time we have situation in which there are more passengers than there are seats on the aircraft. That’s overbooked.

Mr. Lee:                I know what overbooked is, I just don’t understand how that could happen?

Clerk:                   Actually it’s a common practice to overbook, as passengers often don’t take their flight as scheduled. Most of the time there is no problem but today, more passengers arrived than we have seats, so we really are overbooked.

Mr. Lee:                So who has to stay behind?

Clerk:                   Well, first we ask for volunteers. If someone like yourself volunteers, they receive a free round trip ticket to be used within one year. If no one volunteers we just have to select someone.

Mr. Lee:                Ok. I’ll volunteer. I could use a free ticket!

3) Talking to the Immigration Officer

Officer:                 Passport. Please. (Pause) Thank you. I’ll need to see your boarding pass as well.

Mr. Lee:                Here you go.

Officer:                 How long are you planning to stay in Canada

Mr. Lee:                Two weeks.

Officer:                 And where will you be staying?

Mr. Lee:                I’ve got a hotel reservation at eh Marriott, where the conference on Sales and Technology is being held. I’ll take their shuttle bus from the airport.

Officer:                 OK, I’ve stamped your passport for a three – week tourist visa after this date stamped here, you’ll have to make sure to leave the country, or apply for an extension.

4)   Going through Customs

Official:                Did you pack this bag yourself? Has it been out of your possession at any time before check – in?

Mr. Lee:                Yes, I packed it myself, and it hasn’t been out of my possession.

Official:                Are you bringing in any plants or animal products?

Mr. Lee:                No. Sir.

Official:                Our sniffer dog seems to disagree. Do you mind if we look I your suitcase?

Mr. Lee:                Not at all. Go right ahead.

Official:                What’s this sir?

Mr. Lee:                It’s traditional Chinese Medicine. I mix it with hot water like tea. Sorry. I forgot about it.

Official:                What are these red things sir?

Mr. Lee:                Oh no! I forgot about those too! Those are Chinese sausages for my Aunt Lily.

Official:                I’m sorry sir, but you can’t take any of this into the country. We will also have to check your carry – on. Please step this way. Don’t be nervous; we’ll just look through it briefly and then if there are no further problems you’ll be free to go.

5)  First Business Trip

John:                    I can’t attend meeting in Washington. I’ve proposed you as the most able substitute.

Mary:                    But I’ve never been on a business trip before!

John:                    It’s easy enough. Just make sure you keep track of all your expenses. The accounting department will reimburse you for all your meals and travel expenses.

Mary:                    So the company will pay for everything?

John:                    Yes, but when you send in your expense report, you also have to file a report summarizing your trip. It’s not just a big vacation, you know.

Mary:                    That sounds good. But what do you want me to do there?

John:                    I’ve already paved the way. You just have to give a presentation on what our products are. I will do the follow-up and close the sale.

Ⅰ Business Dialogue

1) Looking for a Hotel

Desk Clerk:           Comfort Inn, may I help you?

Mr. Lee:                I’m looking for a hotel near the convention center

Desk Clerk:          You’re in luck! We’re just a two-minute drive from there. Would you like to make a reservation?

Mr. Lee:                Not just yet. I have one or two questions. How much for a single?

Desk Clerk:           During the peak season, a single room goes for 50 dollars a night. But we’ve got a Single Saver special going on right now – only $30 a night. And we’ve also extended our checkout time to 2:00 in the afternoon. And since it’s low season you might consider taking a double for $50 or a suite for $60.

Mr. Lee:                That is good deal. Since this is a working trip. I wonder if you have meeting rooms where I can get together with some clients?

Desk Clerk:           Yes, we have five meeting rooms, of various sizes. We can accommodate large meetings and small, informal gatherings as well. Of course, if you have many small meetings, you might consider checking into a suite and working from there. We also have Internet hook – ups in each room. It’s perfect for the business traveler.

Mr. Lee:                That sounds great. Do you accept checks?

Desk Clerk:           I’m sorry, sir; we don’t. But we do accept all major credit cards.

2) Checking into a Hotel

Desk Clerk:           Good evening sir. Welcome to the Comfort Inn.

Mr. Lee:                Hello. I have a reservation, under the name Lee, Leo Lee.

Desk Clerk:           Hmmm. I’m not sure if we have you down here. How do you spell your last name?

Mr. Lee:                It’s L-e-e.

Desk Clerk:           Oh, right. You’re in our system. I was just looking under Li. So, we’ve got you down for a Business Suite for three days. If I could just have your credit card, I’ll process your check – in while you fill out our resident’s form.

Mr. Lee:                You mean I have to pay now?

Desk Clerk:           Oh no, we just make an impression of your card using our credit card machine. It’s in lieu of a deposit. If everything is OK when you check out, we give it back to you then. It’s pretty standard practice.

Mr. Lee:                I see. I guess you can tell I don’t travel much.

Desk Clerk:           (later) Here’s your card, sir. You’re all checked in. Let me just tell you about a few of our services. We have free breakfast in the lounge from 7:00-9:00. You call the receptionist to arrange for a wake – up call if you like. And checkout time is 2:00. If you check out later than that, we will charge you for an extra half – day. Jimmy here is going to take you up to your room.

3)Checking out of the Hotel

Desk clerk:            Mr. Lee. All ready to check out? We’ve already prepared your bill, and housekeeping has done a quick check of the room. How will you be paying?

Mr. Lee:                I’d like to use my MasterCard, if I could. (Looking at bill) Hey, wait a minute! This is bit more than I expected. Why is it so high?

Desk clerk:            The bill is itemized, so take some time to look through it and make sure we’ve charged you for the correct services. Most of you extra charges were for phone calls and room service. What’s this here – “house stock”?

That’s the mini – bar. Each day we check what’s missing and restock it. The items you consume are put on your bill.

Mr. Lee:                I had no idea – and look at these charges for movies!

Desk clerk:            Those are for pay – per- view movies. Each time you selected a movie, the entertainment system prompted you to confirm that you really wanted it, right?

Mr. Lee:                Yes, that’s right. But I had no idea I would be charged for all this. Thank goodness my company will let me reimburse all this.

4)Checking out of the Hotel

Guest:                   I’m ready to settle the bill.

Desk Clerk:           I hope you enjoyed your stay.

Guest:                   Definitely! Very relaxing.

Desk Clerk:           Good. Right, that comes to $1,500.

Guest:                   What? I only stayed three nights.

Desk Clerk:           That’s right, sir. Three nights at 500 dollars a night …that comes to $1,500.

Guest:                   But your brochure said that this was a package deal and the hotel’s services were all – inclusive.

Desk Clerk:           Yes, of course. The meals and excursions were included in the hotel price.

Guest:                   But why are you overcharging me almost a thousand dollars? 250 dollars a night, times three nights should just be $750.

Desk Clerk:           I’m sorry sir. The 250-dollar rate is based on double occupancy. That means it’s 250 per person. The room itself is 500 dollars a night.

Guest:                   Perhaps I could talk to your manager?

Desk Clerk:           of course. Just a minute, I’ll get her.

5) complaint

Hotel Manager:      I’m Miss Sherman. What seems to be the problem?

Guest:                   Well, apparently I’ve run up quite a bill. I was under the impression that the Junior Executive Holiday Package only cost 250 dollars per night. I’ve just been informed that it’s actually 500 dollars per night.

Hotel Manager:      That’ true. For the Junior Executive Room …three nights … yes, your bill should be $1,500.

Guest:                   But I definitely was led to believe that a three – night stay would be $750.

Hotel Manager:      The advertised rate is based on double occupancy.
